Case Study — Restaurant Digital System

Blackheart Cafe

Printed menus that needed reprinting for every price change became a QR menu that updates in minutes and orders straight to WhatsApp.

The challenge

Blackheart Cafe was running entirely on printed menus, which meant every price change, seasonal item, or sold-out dish required a reprint, and busy hours put pressure on staff trying to take orders accurately while managing a full section of tables at once.

What WebOrbitGaya built

WebOrbitGaya set up a QR-based digital menu with a connected WhatsApp ordering flow, so customers scan a code at their table, browse the menu on their own phone, and send their order as a pre-filled WhatsApp message the staff can act on directly. Menu updates, whether a price change or marking an item out of stock, are now made in minutes rather than requiring new menus to be printed.

What changed

Staff at Blackheart Cafe now handle busy-hour ordering with less back-and-forth, since customers arrive at the counter or table already knowing what they want, and menu changes go live the same day they are decided rather than waiting on a print run. The cafe also has a cleaner, more current menu presentation than a laminated printout that ages visibly over time.

The QR menu and order setup helped our staff a lot during busy hours. Menu updates are quick, customers do not wait for printed menus, and the whole ordering process feels cleaner.
